Job Description

We are looking for an Administrative Assistant to act as the right hand to the Branch Manager and to high-volume salespersons in a medium-sized, fast-growing service company. The right candidate needs to be super-organized, able to multi-task and stay poised under pressure. An important part of the job is communicating directly with clients and other staff.

Responsibilities include:
· Assist Branch Manager/Salespersons by scheduling appointments and managing their Outlook calendars. Meet daily to manage workflow.

· Act as the interface between salespersons and clients. Take phone calls from customers about service requests or other questions, handling them with professionalism and efficiency.

· Manage incoming correspondence and emails.

· Prepare proposals, work orders and other documents.

· Maintain customer confidence and keep information confidential while addressing clients’ needs as issues arise that need resolution.

· Access client information in company database and create new client files and reports.

· Be a team player by helping other admins and maintaining a smooth office-wide flow of work.

· Proactively help salespeople to stay organized and meet deadlines.

Qualifications:
Candidates should have a minimum of 3-5 years of administrative experience. College Degree preferred. Strong grammar and writing skills as well as excellent verbal communication. Microsoft Office including Outlook, Excel and Word, strong organization and time management skills. Type 50+ wpm. EOE
